Solution 03

Operate more efficiently.

Always On Front Desk. An automated receptionist that answers every call, message and web enquiry the moment it arrives, day or night — taking the details, booking the appointment, and passing you only the ones that need a person. That is the entry setup; modules are added to it as the work you want it handling grows.

The phone rings after hours, or during a rush, and nobody answers. Every missed call is a client who called your competitor instead.

01 — What this is

24/7 Always On Receptionist

Solution 03 of 03 · the Grow stage · the flagship of the Workforce roster

Not a tool you operate. A roster of always-on workers doing the jobs a small team can’t staff around the clock — starting with the one that costs you the most when it’s missing.

The receptionist picks up immediately, day or night, asks the right qualifying questions for your business, books the appointment, and hands a real, ready-to-confirm booking to your team instead of a message slip somebody has to call back on. It covers the gaps your staff can’t: after hours, lunch, holidays, overflow during a rush.

The rest of the roster

A review request that fires off the back of a real conversation rather than a generic delayed blast. A follow-up on bookings that would otherwise no-show. A recovery message within minutes when a callback gets missed.

These are on the roadmap, not in your hands today. We’ll tell you which is which before you buy anything — naming what isn’t built yet is cheaper for both of us than discovering it later.

If you want the longer version of why the engineering around the voice is the thing you are actually buying, we wrote it up: your AI agent is not the system. It covers the fifteen decisions behind one answered call, and how to tell whether a vendor has made them.

Common questions

Is this what people mean by “AI automation”?

Yes — this is the part of it that touches a customer. AI automation covers a wide field, from vineyard sensors to invoice processing, and most of it is back-office work that pays back over years. This is the front of the house: the enquiry that arrives at seven, the booking that would otherwise be a message slip, the follow-up nobody has time to send. Same category, shortest road to the money.

Will it sound robotic?

The goal is a natural conversation that gets the booking done, not a phone tree. This is worth hearing rather than reading about — ask for a live demo and judge it yourself.

What if the caller needs something it can’t handle?

It recognises that and routes to a real person. Nobody gets trapped in a loop.

Does it replace our front desk?

No. It fills the coverage gaps — after hours, lunch, holidays, overflow. It isn’t a replacement for the people already running your front desk.

How is this different from an answering service?

A generic answering service takes a message. This books the appointment directly and asks the questions your business actually needs asked.

02 — The argument

One missed call after you closed isn’t a one-visit problem.

It’s that visit, times the odds that person would have stayed with you for years, times how long that relationship would have lasted.

How many do you think you miss in a month? We’ll work it out with your numbers, not ours.
